People can only do what they know; knowing exactly what needs to happen and how depends on good communication.
When things get documented and people have a
clearcase/" target="_blank" >ccess to it, shared information can occur efficiently. That''s why in projects where people have to work closely together on the final product, we need to make sure information is shared through emails, shared folders, and bulletin boards (electronic/local).
We need shared documentation for project tracking (of resource usage, billable hour documentation, and tasks completed for example). We also need it for future projects, using our current project experience to easily do cost and time estimates and to locate valuable resources.
Use whatever electronic, paper, and local tools you can to facilitate the development and access to documentation.
In project planning for example, it is often good to use Post-It''s to sketch out the elements of project planning, then for shared files, migrating that information to Word or Excel tables or Microsoft Project files (or other brands of software).

Publish clear guidelines on what needs to be documented, where, when, and how
Set up whatever accesses make sense for the different kinds of information that need to be shared and accessed
Make sure you have established clear expectations about how changes in the project need to be communicated and documented; make sure these expectations are communicated to all team members, sponsors, vendors, customers and other players
